Job Summary:
We are looking for an Assistant Property Manager that will be handling many emails, phone calls and assisting the
Property Manager. This individual must be able to create and maintain professional relationships with all
coworkers, tenants and future tenants. In this position, it is a necessity to have top rate customer service, a positive
attitude, attention to detail and excellent communication.

Essential Duties/Responsibilities: This list is not all inclusive
Property Leasing
• Manage property listings across platforms including Buildium Software, Craigslist, and UMW Housing Website
• Edit property photos and draft compelling property descriptions
• Schedule and coordinate open houses, updating advertisements accordingly
• Process rental applications and screen potential tenants
• Serve as primary point of contact for applicants and interested parties
• Conduct property showings for prospective tenants
• Prepare and send leases/lease renewals via DocuSign
• Track document status and coordinate lease signing appointments
• Manage new tenant move-in procedures and key distribution
Tenant Relations & Billing
• Process tenant utility payments in Buildium, including uploading bills and prorating when necessary
• Serve as backup for posting tenant payments and properly categorizing accounts
• Handle tenant inquiries, concerns, and lease violations
• Assist with tenant notices, including 5-Day notices and certified mailings
• Coordinate utility service setup and termination for company-managed properties
Administrative & Maintenance Support
• Document management: scan and electronically file necessary documents in Teams, Buildium, and other systems
•Generate and format various reports (delinquency, lease expiration, open work orders, etc.)
• Audit data across Buildium and company spreadsheets
• Support maintenance operations by:
-Assigning maintenance tasks
-Scheduling maintenance inspections
-Creating and distributing maintenance notices
• Serve as backup for property move-in and move-out inspections
• Capture high-quality property photos for marketing materials and listings
Minimum Qualifications:
• High School Diploma or equivalent experience required; Associate’s or Bachelor’s degree in business
administration, real estate, or related field preferred
• 1-2 years of experience in property management or related customer service role
• Previous experience working remotely or in a hybrid work environment required
• Proficiency with property management software (Buildium experience preferred)
• Strong computer skills, including Microsoft Office Suite and electronic document management
• Excellent communication skills, both written and verbal
• Customer service orientation with ability to handle tenant concerns professionally
• Detail-oriented with strong organizational and time management skills
• Ability to remain seated for extended periods while performing administrative tasks
• Capable of working independently with minimal supervision
• Able to accurately follow written instructions and procedures per company protocols
• Basic understanding of property maintenance issues and vendor management
• Able to accurately follow written instructions and procedures as outlined in company protocols.
Work Environment:
• Business casual, fun and positive, dynamic and fast paced
• Salaried but general hours are Monday through Friday, 7:00am to 4:00pm with a 1-hour lunch . Hybrid remote.
